1. Media Release & Marketing Rights Agreement

Initial Entry Media Rights: By entering this competition and submitting any headshot photograph, the contestant (and/or their legal parent or guardian if the contestant is under the age of 18) explicitly grants Miss Coastal Crown of America the perpetual, irrevocable, worldwide royalty-free right and permission to use, publish, reproduce, alter, and display the submitted media.

Winner Content Rights: By submitting official crowning photos, appearance proof, or related media (including photos, videos, stories, or statements), titleholders grant the organization absolute rights to use that content for promotional purposes.

Marketing Channels: All submitted content—including initial contest headshots and winning titleholder updates—may be featured in any and all marketing materials. This includes the organization’s official websites, digital advertisements, print flyers, and all present or future social media networks (such as Instagram, Facebook, TikTok, and others).

Waiver of Compensation: Contestants and titleholders acknowledge and agree that they will receive no financial compensation, royalties, or residual payments for the organization's promotional use of their submitted imagery and media updates.
2. Registration Fees & Payment Policy

Registration Fee: A standard registration fee of $25.00 USD is required per contestant, per monthly theme entry. This fee covers processing, administration, and judicial evaluation of the submission.

Payment Verification: Contestants must include the contestant's full name, age, and active contest month in the payment memo field.

Strict No-Refund Policy: All entry fees, optional category fees, and registration payments are strictly non-refundable.

Forfeiture and Cancellations: No refunds, credits, or entry transfers to future months will be issued under any circumstances, including contestant withdrawal, disqualification for rules violations, technical submission issues, or if an age division does not reach the cash prize threshold.
3. Mandatory Entry Information & Photo Specifications

Required Identification Fields: To complete registration, every entry must include the contestant's Full Legal Name, Chronological Age, and current Location (City and State).

Strict Headshot-Only Policy: The organization exclusively accepts headshot photographs for evaluation. Full-body images, mid-length portraits, or group photos will not be considered or sent to the judging panel.

Entry Limitations: Contestants are permitted to submit exactly one (1) primary headshot photograph per paid entry per monthly theme.

Digital Integrity Policy: Self-applied filters, professional face-tuning, cosmetic digital manipulation, and artificial intelligence (AI) enhancements are strictly prohibited. Standard professional lighting corrections are acceptable. The use of AI is only acceptable if it is used for only the background or to change the contestant’s clothes.

Image Specifications: Submissions must be high-resolution, clear, well-lit, and uploaded in a universally accessible digital format (e.g., JPEG or PNG).

Copyright Compliance: If submitting a professional headshot, the contestant (or guardian) must secure full digital usage rights from the photographer. The organization holds no liability for copyright infringement.

Deadline Enforcement: All entries must be finalized and submitted via the official portal by 11:59 PM EST on the designated closing date. Late entries will not be evaluated.
4. Eligibility & Official Age Divisions

United States Residency: The competition is open strictly to citizens and legal residents of the United States and its territories. All contestants must maintain a valid US shipping address.

Age Qualification: Contestants must compete within the designated age bracket corresponding to their chronological age on the final submission deadline date of the current monthly contest cycle.

Official Divisional Structure: There are eleven official age divisions.

Wee Miss: Ages 1–3

Toddler Miss: Ages 4–6

Tiny Miss: Ages 7–9

Little Miss: Ages 10–11

Young Miss: Ages 12–14

Junior Miss: Ages 15–17
-
Teen Miss: Ages 18–20

Miss: Ages 21–26 (Status requirement: Unmarried / No Children)

Ms.: Ages 21–26 (Status requirement: Married or Unmarried / With or Without Children)

Elite Miss: Ages 27–39

Elegant Miss: Ages 40+

Submission Currency: All headshots submitted must have been captured within the six (6) months prior to the entry deadline to ensure an accurate, current representation of the contestant.
5. Awards, Titles, & Cash Prize Structure

Divisional Accolades: The highest-scoring contestant in each of the eleven (11) designated age divisions will be awarded the official monthly title, a custom Crown, and a themed Titled Sash.

Contestant Quorum Cash Bonus: A cash prize of $50.00 USD will be awarded to the division winner if and only if that specific age division reaches a minimum threshold of ten (10) unique, fully paid contestants during the active monthly cycle.

Prize Fulfillment: All physical awards will be dispatched via trackable domestic shipping carriers (USPS, FedEx, or UPS). The organization is not liable for items lost, damaged, or delayed by the courier service. Cash bonuses will be issued digitally via an approved platform within 14 business days of the official results announcement.
6. Titleholder Obligations & Representation

Mandatory Crowning Submission: Upon receiving their physical awards, all monthly division winners (or their legal guardians) are required to submit at least one (1) high-quality photograph or video wearing their official Miss Coastal Crown of America crown and titled sash. This media must be submitted directly to the directors for official victory announcements.

Public Appearances & Social Media Mandate: Titleholders are not required to make public appearances or perform community service. However, if a winner chooses to make a public appearance, attend an event, or post media featuring their official crown and sash on any social media network (such as Instagram, Facebook, or TikTok), they must explicitly tag the official Miss Coastal Crown of America accounts in the caption and image.

Title Integrity: Titleholders must represent the name with respect while wearing the crown and sash. Failure to submit the mandatory award photo or properly tag the organization during public representation may result in disqualification from future monthly themes.
7. Judging Criteria & Code of Conduct

Evaluation Standards: Panelists evaluate entries based on a standardized rubric focusing on thematic relevance, overall headshot presentation, facial expression/personality, and visual impact.

Judicial Finality: The scores and placements rendered by the independent judging panel are final, binding, and not subject to appeal, review, or public dispute.

Cyber-Sportsmanship Protocol: The organization enforces a zero-tolerance policy regarding defamation, cyberbullying, or harassment. Any public or private misconduct, negative commentary, or targeted complaints directed at staff, judges, or fellow competitors on social media forums will result in immediate disqualification, forfeiture of titles, and a permanent ban from future contests.
