SECTION 1 - MEDIA RELEASE & MARKETING RIGHTS AGREEMENT

  1. Media Authorization: By applying for or accepting a Miss Coastal Crown of America LLC (“MCCA”) Appointed City Title and submitting photographs, videos, testimonials, interviews, stories, statements, or other media, the contestant grants MCCA permission to use, reproduce, publish, display, distribute, crop, resize, format, and adapt those materials for legitimate promotional, advertising, editorial, archival, and organizational purposes.

  2. Promotional Use: Authorized use may include MCCA websites, social media, digital advertising, newsletters, email communications, printed materials, press releases, announcements, videos, titleholder features, and current or future promotional platforms.

  3. Name, Title & Biographical Information: MCCA may use the contestant’s name, official title, age division, city and state, approved biography, platform information, accomplishments, and other information voluntarily submitted for legitimate organizational and promotional purposes.

  4. Editing & Image Integrity: MCCA may crop, resize, format, perform standard retouching, and add text or graphics to submitted media when reasonably necessary for authorized use. MCCA will not intentionally edit content in a manner that materially misrepresents the contestant or Titleholder.

  5. No Compensation: Contestants and Titleholders understand that no wages, royalties, residuals, or licensing fees are owed solely because MCCA uses authorized media in accordance with this agreement.

  6. Copyright & Third-Party Permissions: The contestant, or parent/legal guardian when applicable, is responsible for obtaining any necessary photographer, copyright, or third-party permissions before submitting photographs, videos, music, graphics, or other protected content to MCCA.

  7. Minor Contestants: For contestants under eighteen (18), a parent or legal guardian must provide the applicable media consent on the minor’s behalf to the extent permitted by law.

  8. Previously Published Materials: Expiration, resignation, suspension, or revocation of a title does not require MCCA to remove or destroy photographs, announcements, promotional materials, or other historical or archived content that was lawfully created or published during the contestant’s participation, subject to applicable law.

  9. Copyright Ownership: Permission granted to MCCA under this section does not, by itself, transfer copyright ownership of submitted photographs, videos, or other media to MCCA.

  10. Acknowledgment: By completing the applicable registration and acceptance process, the contestant and, when applicable, parent/legal guardian acknowledge and agree to the media permissions contained in this section.

​SECTION 2 - ELIGIBILITY & APPOINTENT REQUIREMENTS​

  1. Eligibility: Applicants must meet the applicable Miss Coastal Crown of America LLC (“MCCA”) age-division and eligibility requirements and provide complete and accurate registration information.

  2. State Participation Limit: A maximum of five (5) qualified Appointed City Titleholders per state, within each age division, may be accepted during the applicable title year, subject to title availability and MCCA approval.

  3. City Exclusivity: Only one (1) contestant within the same age division may represent the same city during the applicable title year. Applicants may request an available city, town, or other designated geographic area. MCCA may approve an alternative designation when necessary to prevent duplication, confusion, or conflict.

  4. Appointment Process: Appointed City Titles are awarded through registration review and administrative approval. City Titles are appointed and are not awarded through a City-level judged competition. Submission of an application does not guarantee approval or reservation of a requested title. A title becomes official only after all applicable requirements have been satisfied and MCCA has approved the appointment.

  5. One Official City Title: A contestant may not simultaneously hold more than one MCCA Appointed City Title during the same title year unless MCCA provides written approval.

  6. Accurate Information & Verification: Applicants must provide truthful and accurate information. Material misrepresentation, falsification, or intentional omission of required information may result in denial, suspension, or revocation. MCCA may request reasonable documentation to verify age, residency, requested title designation, or other eligibility requirements.

  7. Continued Eligibility & Good Standing: A Titleholder must continue to satisfy applicable eligibility requirements and remain in good standing with MCCA throughout her reign.

SECTION 3 - ​REGISTRATION FEES & PAYMENT POLICY

  1. Appointed City Title Registration Fee: The registration fee for an approved Miss Coastal Crown of America LLC (“MCCA”) Appointed City Title is $200 USD. This fee covers administrative processing, registration, title reservation, organizational expenses, and applicable City Titleholder benefits or awards. The City Title registration fee is not a judging fee, as Appointed City Titles are awarded through administrative approval rather than a judged City competition.

  2. Payment & Title Reservation: A requested City Title is not officially reserved or awarded until the required registration information has been completed, the applicable fee has been successfully received and verified, and MCCA has approved the appointment. Failed, reversed, canceled, disputed, or incomplete transactions do not satisfy the payment requirement.

  3. Official Payment Methods: Payments must be submitted only through payment methods officially designated by MCCA. When applicable, participants should include sufficient identifying information, such as the contestant’s name and requested City Title, so payment can be properly matched to the registration.

  4. No-Refund Policy: Except where required by applicable law, City Title registration fees are non-refundable once submitted and accepted by MCCA. Applicants are responsible for reviewing the applicable Rules & Regulations before submitting payment. Withdrawal, resignation, nonparticipation, failure to complete Titleholder requirements, disqualification, or title revocation does not automatically entitle a participant to a refund, credit, transfer, or future entry.

  5. Duplicate or Erroneous Payments: A verified accidental duplicate or erroneous payment may be reviewed and corrected by MCCA when appropriate. Correction of a duplicate or processing error does not make other properly assessed fees refundable.

  6. Additional Expenses: Unless expressly stated otherwise by MCCA, contestants and Titleholders are responsible for their own additional expenses, including photography, wardrobe, transportation, travel, appearances, community-service activities, promotional materials, internet access, and optional activities.

  7. Chargebacks & Payment Disputes: Participants are encouraged to contact MCCA regarding a payment concern before initiating a payment dispute when reasonably possible. Fraudulent or knowingly improper chargebacks or payment disputes may result in suspension of Titleholder privileges while the matter is reviewed. Nothing in this provision limits any consumer right or remedy available under applicable law.

  8. Future Fee Changes: MCCA may change registration fees for future applicants or future title years. A fee increase will not be applied retroactively to a City Title registration that has already been paid in full, unless the participant voluntarily purchases an additional product or service.

SECTION 4 - MANDATORY REGISTRATION INFORMATION & PHOTO REQUIREMENTS

  1. Required Registration Information: Applicants must provide their full legal name, chronological age, city and state of residence, requested City Title, applicable age division, and any other information reasonably required by MCCA. Information must be complete and accurate. Material falsification, misrepresentation, or intentional omission may result in denial, suspension, or title revocation.

  2. Primary Headshot Requirement: Each applicant must submit one (1) current primary headshot, unless MCCA requests additional images. The contestant’s face must be clearly visible, and the photograph must have been taken within six (6) months before the applicable submission deadline.

  3. Image Quality & File Format: Photographs must be clear, appropriately lit, and of sufficient quality for review and promotional use. Accepted formats are JPEG, JPG, and PNG, unless otherwise specified. MCCA may request a replacement for an image that is blurry, pixelated, corrupted, substantially obscured, or otherwise unsuitable.

  4. Photo Editing & Digital Integrity: Reasonable cropping and adjustments to lighting, exposure, brightness, contrast, and color are permitted. Filters, face-swapping, face-tuning, substantial cosmetic manipulation, or other editing that materially changes the contestant’s natural appearance, age, body, or identity is prohibited.

  5. Artificial Intelligence (AI): AI-assisted editing may be used for background modification or replacement and reasonable clothing or wardrobe modification. AI may not be used to materially alter the contestant’s face, identity, age, body, or other physical characteristics, create a fully AI-generated contestant, or falsely represent the identity of the person entered.

  6. Authenticity Verification: If MCCA has a reasonable concern regarding the authenticity or accuracy of a submitted photograph, MCCA may request an original image, an additional current photograph, or other reasonable verification before approving or continuing the contestant’s participation.

  7. Copyright & Photographer Permission: The contestant or, when applicable, parent/legal guardian is responsible for obtaining any necessary photographer, copyright, or third-party permission before submitting an image to MCCA. Participants may not knowingly submit photographs or other content they are not authorized to use.

  8. Submission Deadline: Required registration materials and photographs must be submitted through MCCA’s designated method by the published deadline. Unless otherwise stated, a specific deadline expires at 11:59 PM Eastern Time (ET). Late or incomplete submissions may be declined unless MCCA approves an exception.

SECTION 5 - ELIGIBILITY & OFFICIAL AGE DIVISIONS

  1. United States Eligibility: Applicants must be citizens or legal residents of the United States or its territories and must provide a valid U.S. shipping address for physical Titleholder materials.

  2. Age Determination & Verification: A contestant’s division is determined by her chronological age on the final submission deadline applicable to the City Title registration. MCCA may request reasonable documentation to verify age, residency, or other eligibility requirements.

  3. Official Age Divisions

  • Wee Miss: Ages 1–3

  • Toddler Miss: Ages 4–6

  • Tiny Miss: Ages 7–9

  • Little Miss: Ages 10–11

  • Young Miss: Ages 12–14

  • Junior Miss: Ages 15–17

  • Teen Miss: Ages 18–20

  • Miss: Ages 21–26 — Unmarried / No Children

  • Ms.: Ages 21–26 — Married or Unmarried / With or Without Children

  • Elite Miss: Ages 27–39

  • Elegant Miss: Ages 40+

    4. Miss & Ms. Division Requirements: Contestants entering the Miss Division must be unmarried and have no children. Contestants entering the Ms. Division may be married or unmarried and may have or not have children.

    5. Division Changes During the Reign: Contestants may not select a division that conflicts with MCCA’s published eligibility requirements. A City Titleholder who ages into another division during her reign does not automatically lose her City Title. Eligibility for a future State or National competition will be determined under the rules applicable to that competition.

    6. Accuracy & Continuing Eligibility: The contestant and, when applicable, parent/legal guardian are responsible for providing accurate age, marital status, parental status, residency, and other eligibility information. Material misrepresentation may result in denial, suspension, or title revocation.

SECTION 6 - CROWN, SASH BRANDING & OFFICIAL TITLE USE

  1. Official Title & Representation: Once all registration requirements have been satisfied, payment has been received, and the appointment has been approved, the contestant may officially represent her approved city, town, or designated area as an MCCA Appointed City Titleholder for the applicable title year.

  2. Crown, Sash & Official Title Use: The MCCA crown and sash represent the Titleholder’s official affiliation with Miss Coastal Crown of America LLC (“MCCA”) and should be worn and displayed with dignity and professionalism. During an active reign and while in good standing, a Titleholder may use her official title in biographies, social media, community appearances, photographs, interviews, and other appropriate Titleholder activities.

  3. Accurate Title Representation: Titleholders must accurately represent the title awarded to them and may not claim or imply that they hold a different, higher, State, National, or otherwise unearned MCCA title.

  4. MCCA Name, Logo & Branding: MCCA’s name, logos, title designations, graphics, and other organizational branding may not be materially altered, reproduced for sale, licensed, or used for unauthorized commercial purposes without MCCA’s prior written permission.

  5. No Unauthorized Endorsement or Commercial Use: A Titleholder may not use her title, crown, sash, MCCA name, logo, or other branding in a manner that falsely suggests MCCA sponsors, endorses, operates, or is officially affiliated with a business, political campaign, fundraiser, product, service, organization, event, or commercial activity without authorization. Merchandise bearing MCCA branding may not be produced or sold without prior written approval.

  6. Crown & Sash Care: After confirmed delivery, the Titleholder is responsible for the reasonable care and safekeeping of her crown and sash. Official items should not be materially altered in a manner that misrepresents the Titleholder’s official designation or MCCA affiliation.

  7. Production, Shipping & Delivery: Because crowns, sashes, and certain Titleholder awards may be custom-made or personalized, physical items are generally expected to ship approximately 4–8 weeks after the City Title is officially approved and applicable requirements have been completed. MCCA will use an available trackable domestic carrier when reasonably practicable. The contestant or parent/legal guardian is responsible for providing an accurate shipping address. MCCA will reasonably assist with available tracking information or carrier claims when appropriate but cannot guarantee a third-party carrier’s delivery schedule. Reasonable reshipping or replacement expenses caused by an incorrect address supplied by the contestant may be the contestant’s responsibility.

  8. End of Reign & Former Titleholder Status: Unless otherwise stated by MCCA, the crown and sash may be retained as keepsakes after successful completion of the reign. A former Titleholder may accurately identify herself as a former MCCA Titleholder or reference the specific title and year she held but may not represent herself as the current Titleholder after her title term ends.

  9. Resignation, Suspension or Revocation: A person whose title has been resigned, suspended, or revoked must discontinue representing herself as the current MCCA Titleholder and must not use the title, crown, sash, or MCCA branding in a manner that suggests current authorization or active Titleholder status.

SECTION 7 - TITLEHOLDER RESPONSIBILITIES, APPEARANCES & COMMUNITY SERVICE

  1. Official Representation: An Appointed City Titleholder represents her designated city and Miss Coastal Crown of America LLC (“MCCA”) when participating in her official capacity. Titleholders are expected to represent MCCA with confidence, purpose, grace, integrity, kindness, respect, and professionalism throughout their reign.

  2. Mandatory Crowning Submission: After receiving her official crown and sash, each City Titleholder must submit at least one (1) clear, high-quality photograph or video wearing her official MCCA crown and titled sash. Submitted content may be used for Titleholder announcements, recognition, and promotional purposes in accordance with Section 1 — Media Release & Marketing Rights Agreement.

  3. Appearance & Community-Service Requirement: Each City Titleholder must complete a minimum of three (3) qualifying public appearances, community-service activities, volunteer activities, or a combination thereof during her one-year reign. Qualifying activities may include charitable events, volunteer projects, parades, festivals, civic or school activities, awareness initiatives, community programs, legitimate fundraising events, and other appropriate opportunities consistent with MCCA's values.

  4. Documentation of Activities: Titleholders should maintain reasonable documentation of activities used to satisfy the three-activity requirement. MCCA may request photographs, videos, event information, dates, confirmation from an organization, or a brief description of participation.

  5. Personal Platforms & Additional Service: Titleholders are encouraged to support a personal platform, charitable cause, community initiative, or awareness campaign reflecting their interests and passions. Participation beyond the three required activities is encouraged but not mandatory.

  6. Independent Charities & Fundraising: Participation in an independent charity, nonprofit organization, fundraiser, or community initiative does not establish an official partnership, sponsorship, or endorsement between that organization and MCCA. Titleholders may participate in legitimate charitable fundraising; however, they may not represent that funds are being collected by or on behalf of MCCA, collect MCCA registration or entry fees, use MCCA payment accounts, or create an MCCA-sponsored fundraiser without prior written authorization.

  7. Appearance Approval & MCCA Affiliation: Routine community-service and charitable appearances generally do not require advance MCCA approval. Prior approval should be obtained when an activity could reasonably imply an official MCCA sponsorship, partnership, endorsement, contractual commitment, political affiliation, or commercial relationship.

  8. Crown, Sash & Social-Media Recognition: Titleholders are encouraged to wear their official crown and sash at appropriate appearances when safe and suitable. When sharing official Titleholder activities on social media, tagging or identifying MCCA is encouraged but not required, unless MCCA provides reasonable identification or submission instructions for a specific official promotional feature.

  9. Appearance Content & Recognition: Titleholders are encouraged to submit photographs, videos, and brief descriptions of their appearances and community-service activities for possible MCCA recognition. Submission does not guarantee publication, reposting, or promotion.

  10. Good Standing & Advancement: Titleholders must substantially fulfill the required responsibilities of their City Title to remain in good standing. Failure to complete required obligations may affect Titleholder privileges or eligibility for advancement, subject to the disciplinary provisions of these Rules & Regulations.​

SECTION 8 - TITLEHOLDER CONDUCT, SOCIAL MEDIA & SPORTSMANSHIP

  1. Standard of Conduct: Appointed City Titleholders are expected to demonstrate respect, integrity, maturity, good sportsmanship, and professionalism when interacting with contestants, fellow Titleholders, MCCA representatives, judges, sponsors, volunteers, community members, and the public.

  2. Social Media & Public Representation: Titleholders may maintain personal social-media accounts and express their own opinions, beliefs, and interests. When publicly identifying themselves as an MCCA Titleholder or displaying an official title, crown, sash, logo, or other MCCA branding, Titleholders are expected to conduct themselves in a manner consistent with their responsibilities. Personal opinions must not be falsely represented as official statements or positions of MCCA.

  3. Bullying, Harassment & Threatening Conduct: Bullying, cyberbullying, harassment, stalking, credible threats, intimidation, or deliberately targeted abusive conduct connected to MCCA participation is prohibited. Unlawful discriminatory harassment directed toward contestants, Titleholders, staff, judges, sponsors, volunteers, or others associated with MCCA is also prohibited.

  4. False or Malicious Statements: Knowingly false statements presented as fact and intentionally made to materially harm another contestant, Titleholder, judge, staff member, sponsor, or MCCA may constitute a violation of these Rules & Regulations. Nothing in this provision prohibits lawful personal opinions, respectful criticism, good-faith complaints, reporting suspected misconduct, cooperating with law enforcement or regulatory authorities, or exercising another right protected by law.

  5. Impersonation, Misrepresentation & Confidential Information: Titleholders may not impersonate MCCA, another Titleholder, a judge, staff member, or another person. Titleholders may not knowingly publish confidential judging materials, private contestant information, passwords, private contact information, or other nonpublic information obtained solely through MCCA participation without authorization or lawful justification.

  6. Judges & Future Judged Competitions: When participating in a State, National, Monthly Themed, or other judged MCCA competition, contestants, Titleholders, parents, guardians, family members, or representatives may not bribe, threaten, harass, pressure, intimidate, or otherwise attempt to improperly influence a judge or competition result. Private contact with a judge for the purpose of influencing judging, obtaining confidential scoring information, disputing another contestant's score, or attempting to alter a result is prohibited. Additional judging requirements are governed by the rules applicable to that competition.

  7. Questions, Complaints & Disputes: Questions or concerns regarding an MCCA decision should be directed through MCCA's designated communication method. A respectful question, lawful criticism, or good-faith complaint will not, by itself, constitute misconduct.

  8. Review of Alleged Misconduct: MCCA may review credible allegations of misconduct that directly relate to an individual's MCCA participation. Rumor, disagreement, criticism, or an unverified allegation alone does not establish a violation. When reasonably appropriate, the individual involved may be given an opportunity to respond and provide relevant information.

  9. Disciplinary Action: When a violation is reasonably substantiated, MCCA may take action proportionate to the nature, severity, frequency, and circumstances of the conduct. Action may include a warning, corrective action, restriction of Titleholder privileges, suspension, disqualification from advancement, title revocation, or restriction of future participation. Serious misconduct involving credible threats, violence, fraud, deliberate competition interference, significant harassment, unlawful conduct, or a material safety concern may warrant immediate interim action while the matter is reviewed.

SECTION 9 - PERSONAL RESPONSIBILITY, SAFETY, MINORS & INDEMNIFICATION​

  1. Personal Responsibility & Compliance With Law: Each Appointed City Titleholder is responsible for her own actions, decisions, statements, activities, and conduct. Titleholders must comply with applicable federal, state, and local laws. MCCA does not authorize, direct, sponsor, approve, or endorse illegal, fraudulent, violent, threatening, dangerous, or reckless conduct.

  2.  Independent Activities & Representation: Wearing an MCCA crown or sash, using an MCCA title, or displaying MCCA branding does not mean that MCCA organized, authorized, supervised, sponsored, or assumed responsibility for an independently selected activity, appearance, event, fundraiser, photo shoot, or other engagement.

  3. Relationship With MCCA & Authority: An Appointed City Titleholder is not an employee, agent, partner, joint venturer, officer, director, or legal representative of MCCA solely because she holds an MCCA title. Unless expressly authorized in writing, a Titleholder may not enter contracts, incur debts or expenses, collect money, obtain sponsorships, make legal commitments, issue official statements, or otherwise bind MCCA.

  4. Safety & Independent Events: Titleholders and, when applicable, their parents/legal guardians are responsible for independently evaluating whether appearances, community-service activities, events, venues, photographers, organizations, transportation arrangements, and other independently selected activities are safe and appropriate. MCCA does not control the independent acts or omissions of unaffiliated venues, event organizers, charities, photographers, vendors, transportation providers, members of the public, or other third parties.

  5. Travel, Transportation & Expenses: Unless MCCA expressly states otherwise in writing, Titleholders and their families are responsible for their own transportation, travel arrangements, lodging, meals, parking, airfare, ground transportation, personal property, and other expenses associated with appearances and Titleholder activities.

  6. Minor Titleholders & Parent/Guardian Responsibility: For a Titleholder under eighteen (18), the parent or legal guardian remains responsible for appropriate supervision, transportation, safety, participation, and welfare during independent appearances, travel, community activities, photo shoots, and other Titleholder activities. MCCA does not require a minor City Titleholder to travel alone or meet privately with an unrelated adult as a condition of maintaining her title. Participation in MCCA does not transfer ordinary parental or guardian responsibilities to MCCA except where MCCA expressly assumes a specific responsibility for an MCCA-organized activity.

  7. Emergencies & Unsafe Situations: A Titleholder is not required by MCCA to remain at an independent activity that she—or, for a minor, her parent/legal guardian—reasonably believes presents an immediate safety concern. In an emergency, participants should contact appropriate emergency services or local authorities rather than relying upon MCCA as an emergency-response provider.

  8. Personal Statements & Activities: A Titleholder's personal opinions, statements, political or religious views, business activities, endorsements, and other personal expressions are her own and do not represent an official position of MCCA unless expressly authorized by MCCA.

  9. Indemnification: To the fullest extent permitted by applicable law, the Titleholder—and, where legally applicable, her parent or legal guardian—agrees to indemnify and hold harmless MCCA and its owners, directors, officers, employees, contractors, representatives, volunteers, sponsors, affiliates, successors, and assigns from third-party claims, liabilities, damages, losses, costs, and reasonable legal expenses to the extent arising from the Titleholder's own unlawful or unauthorized conduct, material violation of these Rules & Regulations, or unauthorized representations or commitments purportedly made on behalf of MCCA.

  10. Non-Waivable Rights: Nothing in these Rules & Regulations is intended to release, waive, disclaim, or limit any liability, legal right, or protection that cannot lawfully be released, waived, disclaimed, or limited under applicable law.

SECTION 10 - ADVANCEMENT TO STATE COMPETITION

  1. Eligibility to Advance: An Appointed City Titleholder in good standing may be eligible to advance to the applicable Miss Coastal Crown of America (“MCCA”) State Competition, provided she satisfies all State Competition eligibility, registration, submission, deadline, and payment requirements.

  2. Separate State Registration & Rules: Advancement is not automatic solely because a contestant holds an Appointed City Title. A Titleholder wishing to compete at State must complete the required State Competition registration process and comply with the separate MCCA State Competition Rules & Regulations.

  3. City Requirements & Eligibility Verification: Before advancement, MCCA may verify that the City Titleholder remains eligible, is in good standing, and has substantially completed applicable City Titleholder requirements. MCCA may request reasonable documentation when necessary to verify eligibility.

  4. State Competition Is Judged: Appointed City Titles are awarded through administrative appointment and are not City-level judged competitions. The State Competition is a separate judged competition. Competition categories, judging, scoring, tie-breaking procedures, submissions, deadlines, placements, and results are governed by the applicable State Competition Rules & Regulations.

  5. State Competition Fees: State Competition fees are separate from the $200 Appointed City Title registration fee. Payment of the City Title fee does not include State or National Competition fees unless MCCA expressly states otherwise in writing.

  6. No Guaranteed State Title or Refund: Holding an Appointed City Title provides an opportunity to qualify for State Competition but does not guarantee advancement, placement, or receipt of a State Title. Choosing not to compete, failing to satisfy State requirements, or becoming ineligible for State Competition does not create a right to a refund of previously paid City Title fees.

  7. City Title Status: Choosing not to advance to State Competition does not, by itself, invalidate an otherwise properly held City Title. The Titleholder remains responsible for fulfilling the requirements of her City Title for the remainder of her applicable title term.

SECTION 11 - TITLE TERM, RESIGNATION, SUSPENSION & REVOCATION

  1. Title Term: An approved Miss Coastal Crown of America LLC (“MCCA”) Appointed City Title is held for a one-year term, beginning on the official date of appointment unless MCCA provides a different term in writing.

  2. Completion of Reign & Former Titleholder Status: Upon successful completion of the title term, the Titleholder may accurately identify herself as a former MCCA Appointed City Titleholder and may reference the specific title and year she held. She may not represent herself as the current Titleholder after her term has ended.

  3. Voluntary Resignation: A Titleholder may voluntarily resign by providing written notice to MCCA. Unless MCCA specifies otherwise, resignation becomes effective when acknowledged by MCCA or on a later effective date stated in the written resignation. Following resignation, the individual must discontinue representing herself as the current MCCA Titleholder.

  4. Effect of Resignation: Voluntary resignation does not automatically create a right to a refund, credit, transfer, or reimbursement of previously paid registration fees or expenses.

  5. Review of Rule Violations: MCCA may review credible information indicating that a Titleholder has materially violated these Rules & Regulations, failed to maintain eligibility or good standing, misrepresented her title or affiliation, or engaged in conduct that may warrant disciplinary action. An allegation, disagreement, or rumor alone does not automatically establish a violation.

  6. Corrective Action & Suspension: Depending upon the nature and severity of the circumstances, MCCA may use reasonable corrective or disciplinary measures, including a written warning, corrective requirements, restriction of Titleholder privileges, or temporary suspension. A suspension may be imposed while a serious matter is being reviewed and does not, by itself, constitute a final determination of wrongdoing.

  7. Notice & Opportunity to Respond: When reasonably appropriate under the circumstances, MCCA will provide the Titleholder—and, for a minor, her parent or legal guardian—with notice of the material concern and a reasonable opportunity to provide relevant information before a final revocation decision is made. MCCA may take temporary protective action before completion of a review when reasonably necessary to address a credible and significant safety, legal, fraud, harassment, or competition-integrity concern.

  8. Title Revocation: MCCA may revoke an Appointed City Title when a material violation of these Rules & Regulations is reasonably substantiated or when the Titleholder no longer satisfies a material eligibility requirement. Revocation should be based on the nature, severity, circumstances, and available information rather than imposed automatically for every minor or technical violation.

  9. Effect of Suspension or Revocation: During a suspension, a Titleholder must comply with any temporary restrictions communicated by MCCA. Following revocation, the individual must immediately discontinue representing herself as the current MCCA Titleholder and may not use the title, crown, sash, or MCCA branding in a manner suggesting continued authorization or active Titleholder status.

  10. Crown, Sash & Previously Published Materials: Unless MCCA expressly states otherwise, an individual's physical crown and sash may remain personal keepsakes following completion, resignation, or revocation of the title. Retaining those items does not authorize continued representation as a current Titleholder. MCCA is not required solely because a title ends to remove previously published photographs, announcements, results, promotional materials, or historical records that were lawfully created or published during the individual's participation, subject to applicable law and the Media Release provisions of these Rules & Regulations.

  11. Future Eligibility: MCCA may consider the circumstances surrounding a resignation, suspension, or revocation when evaluating an individual's eligibility for future MCCA titles, competitions, or programs. A prior resignation or suspension does not automatically create a permanent prohibition unless MCCA determines that future participation should be restricted based on the circumstances and applicable rules.

​SECTION 12 - ADMINISTRATIVE POLICIES, ELECTRONIC COMMUNICATIONS & RULE CHANGES

  1. Official Communications: Miss Coastal Crown of America LLC (“MCCA”) may communicate with contestants, Titleholders, and, when applicable, parents/legal guardians through email, website notices, registration systems, electronic forms, text messages when authorized, or other designated communication methods. Participants are responsible for providing accurate and current contact information and for reasonably monitoring communications from MCCA, including spam or junk folders.

  2. Electronic Registrations & Submissions: MCCA may accept registrations, photographs, videos, documents, acknowledgments, signatures, payments, and other required materials electronically. Participants are responsible for ensuring that required submissions are complete, accurate, and successfully transmitted through the designated method.

  3. Deadlines & Time Zone: Unless otherwise specifically stated, published MCCA deadlines expire at 11:59 PM Eastern Time (ET) on the stated deadline date. Participants are encouraged to submit required materials sufficiently in advance of a deadline to account for ordinary internet, device, upload, email, or other technical difficulties.

  4. Technical Problems & MCCA System Errors: MCCA is not responsible for ordinary internet outages, device failures, email-delivery problems, incompatible files, user error, or other technical issues outside MCCA's reasonable control. If a participant reasonably believes an MCCA-controlled website, registration system, or submission platform malfunction prevented a timely submission, the participant should notify MCCA as soon as reasonably possible and provide available supporting information. MCCA may correct a documented administrative, clerical, payment-processing, or MCCA-controlled system error when reasonably necessary to ensure fair and accurate administration of the program.

  5. Rule Interpretation & Administration: MCCA reserves reasonable authority to interpret and administer these Rules & Regulations in a manner consistent with their language, purpose, and the fair operation of the Appointed City Title program. Any exception granted in a particular circumstance does not automatically create a permanent waiver or require MCCA to grant the same exception in unrelated circumstances.

  6. Rule Updates & Material Changes: MCCA may revise these Rules & Regulations when reasonably necessary to address program operations, safety, legal requirements, technology, eligibility standards, or other legitimate organizational needs. When reasonably practicable, material changes affecting an existing Titleholder's substantive obligations will be communicated before they take effect and will not be applied retroactively in a manner that unfairly penalizes conduct that complied with the rules in effect when it occurred.

  7. Separate Program & Competition Rules: State, National, Monthly Themed, or other MCCA competitions and programs may have separate eligibility requirements, fees, deadlines, judging procedures, awards, and Rules & Regulations. When a participant enters one of those programs, the rules specifically applicable to that program govern matters relating to that competition or program.

  8. Program Changes & Circumstances Beyond MCCA's Control: MCCA may reasonably modify dates, deadlines, schedules, activities, appearances, delivery arrangements, program formats, or other operational details when necessary because of circumstances beyond MCCA's reasonable control or legitimate organizational needs. Such circumstances may include severe weather, natural disasters, public emergencies, governmental actions, transportation disruptions, widespread technology failures, venue or vendor issues, or other events that materially interfere with normal operations.

  9. Awards & Substitutions: If an advertised crown, sash, award, prize, product, service, or other benefit becomes unavailable because of circumstances reasonably outside MCCA's control, MCCA may substitute an item or benefit of reasonably comparable nature or value when appropriate. Unless expressly stated otherwise, promotional images of awards or prizes are illustrative and minor variations in design, appearance, packaging, manufacturer, or availability may occur.

  10. Severability: If any provision of these Rules & Regulations is determined by a court or other authority with appropriate jurisdiction to be invalid or unenforceable, the remaining provisions will continue in effect to the extent permitted by law.

  11. Applicable Law: These Rules & Regulations and participation in the MCCA Appointed City Title program are subject to applicable federal, state, and local law. Nothing in these Rules & Regulations is intended to eliminate or restrict a right or protection that cannot lawfully be waived.

SECTION 13 - AGREEMENT, CONSENT & ACKNOWLEDGMENT

  1. Acceptance of Rules & Regulations: By applying for, accepting, or participating as a Miss Coastal Crown of America LLC (“MCCA”) Appointed City Titleholder, the contestant acknowledges that she has been provided access to these Rules & Regulations and agrees to comply with the requirements applicable to her participation.

  2. Parent/Legal Guardian Consent for Minors: For a contestant under eighteen (18), a parent or legal guardian must review and accept these Rules & Regulations on the minor contestant’s behalf. The parent or legal guardian represents that they have legal authority to provide the required consent and agrees to fulfill the responsibilities assigned to parents/legal guardians under these Rules & Regulations.

  3. Accuracy of Information: The contestant and, when applicable, parent/legal guardian certify that registration information and eligibility information submitted to MCCA are truthful and accurate to the best of their knowledge. Material falsification, misrepresentation, or intentional omission may affect eligibility or Titleholder status.

  4. Media Authorization: The contestant and, when applicable, parent/legal guardian acknowledge and agree to the media permissions described in Section 1 — Media Release & Marketing Rights Agreement, including MCCA’s authorized use of submitted photographs, videos, biographical information, and other approved materials.

  5. Registration Fee & Refund Policy: The applicant acknowledges the $200 Appointed City Title registration fee and understands that payment is subject to the payment and no-refund provisions contained in Section 3 — Registration Fees & Payment Policy, except where otherwise required by applicable law.

  6. Titleholder Responsibilities: The contestant understands that accepting an MCCA Appointed City Title carries responsibilities relating to appropriate title representation, conduct, appearances, community service, crown and sash use, and continued compliance with these Rules & Regulations.

  7. Personal Responsibility & Safety: The contestant and, when applicable, parent/legal guardian acknowledge the personal-responsibility, safety, supervision, travel, third-party activity, and indemnification provisions contained in Section 9 — Personal Responsibility, Safety, Minors & Indemnification.

  8. No Guarantee of Future Titles or Opportunities: An Appointed City Title does not guarantee advancement, placement, a State or National Title, prize, sponsorship, endorsement, promotional opportunity, or other future benefit. Eligibility for separate MCCA competitions or programs is governed by the rules applicable to those programs.

  9. Electronic Communications & Acceptance: The contestant and, when applicable, parent/legal guardian consent to receiving appropriate administrative communications through MCCA’s designated electronic communication methods. To the extent permitted by applicable law, electronic acceptance—including checking an acknowledgment box, providing an electronic signature, and/or submitting the applicable registration form—may serve as evidence of acceptance of these Rules & Regulations.

  10. Opportunity to Review: By accepting these Rules & Regulations, the contestant and, when applicable, parent/legal guardian acknowledge that they have had a reasonable opportunity to review the rules and ask questions before completing registration and acceptance of the Appointed City Title.

  11. Entire Rules & Regulations: These Rules & Regulations, together with any additional written terms expressly incorporated into the applicable registration, constitute the rules governing participation in the MCCA Appointed City Title program. Separate MCCA competitions and programs may be governed by their own additional Rules & Regulations.

  12. Non-Waivable Rights: Nothing in this acknowledgment is intended to waive, release, or restrict any legal right or protection that cannot lawfully be waived, released, or restricted.
