SECTION 1 — MEDIA RELEASE & MARKETING RIGHTS AGREEMENT

  1. Media Authorization: By registering for or participating in the Miss Coastal Crown of America LLC (“MCCA”) National Competition and submitting photographs, videos, testimonials, interviews, stories, statements, or other media, the contestant gives MCCA permission to use, reproduce, publish, display, distribute, and adapt those materials for legitimate promotional, advertising, editorial, archival, and organizational purposes.

  2. Promotional Use: Authorized use includes MCCA websites, social media, digital advertising, newsletters, emails, printed materials, press releases, announcements, videos, Titleholder features, and current or future promotional platforms.

  3. Name, Title & Information: MCCA may use the contestant’s name, official title, age division, city and state, approved biography, platform, accomplishments, and other information voluntarily submitted for legitimate organizational and promotional purposes.

  4. Editing & Image Integrity: MCCA may crop, resize, format, perform standard retouching, and add text or graphics when reasonably necessary for authorized use. MCCA will not intentionally edit materials in a way that materially misrepresents the contestant or National Titleholder.

  5. No Compensation: No wages, royalties, residuals, or licensing fees are owed solely for authorized media use under this agreement.

  6. Copyright & Third-Party Permissions: The contestant or parent/legal guardian must obtain any necessary photographer, videographer, music, copyright, or other third-party permissions before submitting protected materials.

  7. Minor Contestants: A parent or legal guardian must provide the required media consent for contestants under eighteen (18), to the extent permitted by law.

  8. Previously Published Materials: Completion of the National Competition, expiration of a title, resignation, suspension, or revocation does not automatically require MCCA to remove lawfully published photographs, results, announcements, promotional materials, or historical records, subject to applicable law.

  9. Copyright Ownership: This permission does not transfer copyright ownership to MCCA.

  10. Acknowledgment: By completing National registration and the required consent process, the contestant and, when applicable, parent/legal guardian acknowledge and agree to the media permissions in this section.

SECTION 2 — NATIONAL COMPETITION ELIGIBILITY & ENTRY REQUIREMENTS

  1. Eligibility: Contestants must meet Miss Coastal Crown of America LLC (“MCCA”) National Competition age-division and eligibility requirements and provide complete, accurate registration information.

  2. Required State Title: Each contestant must hold an officially confirmed MCCA State Title, earned through the State Competition or accepted through MCCA’s approved runner-up succession process. Holding an Appointed City Title alone does not qualify a contestant for Nationals.

  3. State Residency & Representation: Contestants must reside in the state they represent when registering and throughout the National Competition. MCCA may request reasonable documentation to verify residency and the approved State Title.

  4. One National Entry: A contestant may enter only one (1) age division and represent one (1) state during the same National competition year. Entry must match her verified eligibility and approved State representation.

  5. State Titleholder Good Standing: Contestants must hold an active State Title and remain in good standing throughout Nationals. The three required State appearances or community-service activities may be completed throughout the State reign and do not need to be finished before National entry. Entering Nationals does not remove remaining City or State responsibilities.

  6. Accurate Information: Registration information and competition submissions must be truthful, complete, and authentic. Material falsification, fraud, or intentional omission may result in denial of entry, disqualification, or other appropriate disciplinary action.

  7. Eligibility Verification: MCCA may request reasonable proof of age, residency, State Title status, or other eligibility requirements. Failure to provide requested verification by the stated deadline may result in an incomplete or denied entry.

  8. Entry Confirmation: Entry becomes official only after MCCA receives, verifies, and approves the required registration information, payment, and submissions. Application, payment, or holding a State Title does not guarantee National acceptance, placement, prizes, or a National Title.

  9. Continued Eligibility: Contestants must remain eligible throughout the competition. Confirmed National winners must maintain good standing and fulfill the National Titleholder responsibilities throughout their reign.

  10. National Title Selection: Contestants compete against eligible contestants from all represented states within their official age division. Only one (1) contestant in each of the eleven (11) age divisions will earn that division’s Miss Coastal Crown of America National Title, subject to verified judging results and eligibility. National Titles are awarded by age division, not separately by state. Judging procedures are established in Section 5.

SECTION 3 — NATIONAL COMPETITION FEES & PAYMENT POLICY

  1. National Registration Fee: The National Competition registration fee is $695 USD per contestant. This covers registration, administration, submission review, judging, scoring, and competition operations. Payment does not guarantee acceptance, a National Title, placement, crown, sash, or prize.

  2. Separate Competition Fees: The $200 City Title fee, $395 State Competition fee, and $695 National Competition fee are separate. Payment of the National fee does not include or reimburse City or State fees or additional personal expenses.

  3. Payment & Registration Confirmation: Registration becomes official only after MCCA receives, verifies, and approves the required information, payment, and submissions. Failed, canceled, reversed, or incomplete payments do not satisfy the payment requirement.

  4. Official Payment Methods: Payments must be submitted through MCCA’s officially designated payment methods. Contestants must provide identifying information when requested, including their name, State Title, and age division, so payment can be matched to registration.

  5. Refund Policy: Fees are non-refundable once submitted and accepted by MCCA, except as required by applicable law or an expressly stated MCCA refund policy. Withdrawal, nonparticipation, missed deadlines, disqualification, or failure to win does not automatically create a right to a refund, credit, transfer, or future entry.

  6. Incomplete Registration & Submissions: Registration and payment requirements must be completed by the published deadlines. Missing or defective category entries are handled under Section 5’s scoring policy. MCCA may review documented administrative errors or MCCA-controlled technical problems without creating an unfair advantage.

  7. Duplicate or Incorrect Payments: MCCA may review and correct verified duplicate payments or payment-processing errors. Correcting an error does not make other properly assessed fees refundable.

  8. Additional Expenses: Unless expressly included, contestants are responsible for photography, wardrobe, video production, internet access, transportation, appearances, community-service activities, and other personal or optional expenses. Any required purchase from a particular vendor must be disclosed before registration.

  9. Payment Concerns & Disputes: Participants are encouraged to contact MCCA about payment concerns before initiating a dispute when reasonably possible. Fraudulent or knowingly improper disputes may result in temporary participation restrictions while reviewed. Nothing in this policy limits lawful consumer rights or payment-dispute remedies.

  10. Future Fee Changes: MCCA may change fees for future competitions or applicants. An increase will not apply to an entry already paid in full unless the contestant voluntarily purchases an additional product or service.

  11. Denied Applications, Cancellation & Rescheduling: If MCCA denies an application because of a substantiated contestant rule violation, no refund will be issued, except as required by applicable law. If the National Competition is canceled, MCCA will provide a replacement competition and transfer paid National registration fees without an additional National entry fee. MCCA will notify affected contestants and announce replacement dates and deadlines when available. This policy does not limit remedies required by applicable law.

  12. Failure to Advance to Nationals: A confirmed State Titleholder who fails to fulfill her mandatory National Competition commitment without an approved written exception may forfeit her State Title and be assessed a $200 USD penality advancement charge, subject to the State Competition rules, applicable law, and a separately acknowledged, legally enforceable advancement agreement. This charge is separate from the $695 National entry fee and does not pay for National registration. Before confirming forfeiture or assessing the charge, MCCA will provide written notice and a reasonable opportunity to respond or correct documented errors. No charge will apply where prohibited by law or where MCCA cancels Nationals without providing a replacement competition.

  13. State Runner-Up Succession: If a State winner declines, forfeits, or becomes ineligible to advance, MCCA may offer the vacant State Title and National opportunity to eligible runner-ups in order: First, Second, Third, then Fourth Runner-Up, where applicable. A runner-up is not automatically entered into Nationals. The successor must accept the State responsibilities, satisfy National eligibility, and complete registration, required submissions, and the separate $695 National entry fee within MCCA’s designated timeframe. She serves the remainder of the original State reign. Any successor awards will be confirmed in writing before acceptance; the original State winner’s full prize package is not included.

SECTION 4 — REQUIRED REGISTRATION INFORMATION & COMPETITION SUBMISSIONS

  1. Registration Information: Contestants must provide their full legal name, age, age division, official MCCA State Title, city and state of residence, and other reasonably required information. All information must be complete, accurate, and consistent with National eligibility requirements.

  2. Required Competition Entries: Each contestant must submit one Introduction Video, one full-length Evening Gown photograph, one Photogenic headshot, and Community Service/Resume information.

  3. Photogenic Headshot: Submit one clear, current headshot showing the contestant’s face and natural appearance. Group photographs, full-length images, mid-length portraits, or photographs that substantially obscure the face are not accepted for Photogenic judging.

  4. Evening Gown Photograph: Submit one full-length photograph clearly showing the contestant wearing an evening gown. The contestant and gown must be sufficiently visible for judges to evaluate overall presentation, poise, and style.

  5. Photo Currency & Quality: Photographs must have been taken within six (6) months before the National final submission deadline and accurately show the contestant’s current appearance. Accepted formats are JPEG, JPG, and PNG, unless MCCA announces otherwise. Images must be clear, appropriately lit, and suitable for digital judging.

  6. Photo Editing: Reasonable cropping and adjustments to lighting, exposure, contrast, and color are allowed. Face-swapping, face-tuning, or editing that materially changes the contestant’s face, body proportions, age, or identity is prohibited.

  7. Artificial Intelligence & Wardrobe Editing: AI-assisted background modification is allowed when it does not obscure or misrepresent the contestant. Fully AI-generated contestants are prohibited. The Evening Gown photograph must show the actual gown worn, without digital replacement or alterations to its design, color, fit, or length. Reasonable lighting and color correction is permitted when it does not materially change the gown’s actual appearance.

  8. Authenticity Verification: MCCA may request original images, additional current photographs, or other reasonable verification when authenticity or eligibility is questioned. Failure to provide requested verification may affect acceptance of the submission or participation, subject to the applicable scoring and review procedures.

  9. Introduction Video: Submit a video featuring the contestant that is no longer than two (2) minutes. Younger contestants may receive age-appropriate parent or guardian assistance. Technical instructions will be published by MCCA, and judging requirements are explained in Section 5.

  10. Community Service/Resume: Submit truthful information about community involvement, volunteer activities, a personal platform, accomplishments, and other meaningful contributions. MCCA may request reasonable supporting documentation.

  11. Copyright & Permissions: The contestant or parent/legal guardian must obtain any necessary photographer, videographer, music, copyright, or other third-party permissions before submitting protected materials.

  12. Submission Instructions & Deadlines: All entries must be received through MCCA’s designated submission method by the published deadline. Unless otherwise stated, deadlines end at 11:59 PM Eastern Time (ET). MCCA will publish applicable file requirements and submission instructions.

  13. Missing or Defective Submissions: Missing, late, corrupted, or materially noncompliant category entries receive a score of zero (0) for that category, while the contestant may remain in the competition under Section 5. Category weights do not change. MCCA may correct documented MCCA-controlled technical errors without creating an unfair advantage. Fraudulent or materially falsified submissions may result in disqualification.

SECTION 5 — NATIONAL COMPETITION CATEGORIES, SCORING & JUDGING

  1. Competition Groups: Contestants compete against eligible contestants from all represented states within their official age division. Only one (1) contestant in each of the eleven (11) divisions will earn that division’s Miss Coastal Crown of America National Title, subject to verified results and eligibility. National Titles are not awarded separately by state.

  2. Introduction Video — 25%: Submit an introduction video of no more than two (2) minutes sharing your personality, interests, accomplishments, goals, and reasons for participating. Judges consider confidence, communication, organization, authenticity, individuality, and overall impression. Professional production is not required. Age-appropriate parent or guardian assistance is allowed, and judges consider developmental abilities.

  3. Evening Gown Portfolio — 30%: Submit one full-length photograph wearing an evening gown. Judges consider elegance, poise, posture, confidence, gown suitability and fit, age appropriateness, personal style, and overall presentation. Gown price and designer label are not judging criteria. Photographs must follow Section 4’s editing requirements.

  4. Photogenic — 25%: Submit one current headshot. Judges consider expression, personality, confidence, camera presence, composition, lighting, clarity, authenticity, and age-appropriate presentation. Judging is not based solely on conventional beauty standards or photography expense.

  5. Community Service/Resume — 20%: Judges consider community involvement, service, leadership, initiative, accomplishments, dedication, authenticity, and meaningful impact. Age, available opportunities, resources, and individual circumstances are considered. Younger contestants may demonstrate family-supported service, school activities, kindness initiatives, or other age-appropriate contributions. No nonprofit organization, minimum fundraising amount, or minimum volunteer hours is required.

  6. Scoring: Each judge assigns a score from 0–100 for each category. When multiple judges participate, their scores are averaged within each category before applying its weight. The final score is (Introduction × 0.25) + (Evening Gown × 0.30) + (Photogenic × 0.25) + (Community Service/Resume × 0.20). The maximum final score is 100 points.

  7. Fair & Impartial Judging: Judges must disclose relationships that could reasonably create a conflict of interest. MCCA may replace a judge, exclude affected scores, or take other reasonable corrective action. Contestants and their representatives may not offer gifts, compensation, favors, or other incentives to influence results.

  8. Missing or Noncompliant Entries: A missing, late, corrupted, or materially noncompliant category entry receives a score of zero (0) for that category, but the contestant may remain in the competition. Category weights do not change, and accepted entries are scored normally. MCCA may correct documented MCCA-controlled technical errors without creating an unfair advantage. Fraudulent or materially falsified submissions may result in disqualification.

  9. Tie-Breaking: Ties are resolved by the highest category score in this order: Evening Gown, Introduction Video, Photogenic, then Community Service/Resume. If a tie remains, an additional impartial review of the tied contestants’ original submissions will use the published judging criteria to determine one winner.

  10. Winners & Placements: The contestant with the highest verified final score in each age division is eligible for that division’s National Title. First through Fourth Runner-Up may be recognized within each division where applicable. Titles and placements remain subject to eligibility verification and compliance with these rules.

  11. Confidentiality & Official Results: Judges’ individual evaluations, notes, and deliberations remain confidential unless disclosure is required by law. MCCA will announce official results through its designated channels. Contestants and their representatives must not privately contact judges to influence results or obtain confidential scoring information.

  12. Results Review: Subjective judging decisions are final. MCCA may review and correct documented mathematical errors, score-entry mistakes, eligibility errors, conflicts of interest, or material rule violations. Submit supported concerns through MCCA’s official communication channels. Disagreement with a judge’s opinion alone does not justify changing results.

  13. Competition Integrity: Impersonation, falsified accomplishments, score manipulation, improper influence, or deliberate interference may result in disqualification and appropriate disciplinary action. MCCA will administer these rules fairly and consistently.

SECTION 6 — ELIGIBILITY & OFFICIAL AGE DIVISIONS

  1. United States Eligibility: Contestants must be U.S. citizens or legal residents of the United States or its territories and provide a valid U.S. shipping address for physical awards. State representation and qualification requirements are established in Section 2.

  2. Age Determination: A contestant’s division is determined by her chronological age on the National Competition final submission deadline. MCCA may request reasonable documentation to verify age and eligibility.

  3. Official Age Divisions:
    • Wee Miss: Ages 1–3
    • Toddler Miss: Ages 4–6
    • Tiny Miss: Ages 7–9
    • Little Miss: Ages 10–11
    • Young Miss: Ages 12–14
    • Junior Miss: Ages 15–17
    • Teen Miss: Ages 18–20
    • Miss: Ages 21–26 — Unmarried / No Children
    • Ms.: Ages 21–26 — Married and/or Has Children
    • Elite Miss: Ages 27–39
    • Elegant Miss: Ages 40+

  4. Miss & Ms. Requirements: Contestants ages 21–26 who are unmarried and have no children must enter Miss. Contestants ages 21–26 who are married and/or have children must enter Ms. Contestants may not choose between these divisions.

  5. Changes Between State & Nationals: A contestant whose age or eligibility changes between competitions must notify MCCA. National division placement follows the requirements above and must be verified before entry is confirmed. Holding a State Title does not permit entry into a National division for which the contestant is ineligible.

  6. Changes During the National Reign: A birthday during the one-year National reign does not automatically end an awarded National Title. Titleholders must report changes affecting other eligibility requirements so MCCA can review them under the applicable rules.

  7. Accurate Information: Contestants and, when applicable, parents or legal guardians must provide truthful age, residency, marital-status, and parental-status information. Material misrepresentation may result in denial, disqualification, suspension, or title revocation, subject to the applicable review procedures.

SECTION 7 — NATIONAL CROWN, SASH, BRANDING & OFFICIAL TITLE USE

  1. Official National Awards: Each officially confirmed National Division Winner receives an MCCA National crown and sash representing her awarded National Title and age division, as well as a National Prize Package see Section11. Registration, payment, or holding a State Title alone does not authorize National Titleholder status.

  2. Titles Earned Through Competition: National Titles are earned through MCCA’s judged competition and confirmed after results and eligibility are verified. Only one winner per age division is selected, as established in Section 5.

  3. Production & Shipping: Crowns and sashes are generally expected to ship within four to eight (4–8) weeks after official winner confirmation. This is an estimate and may vary because of production, supplier availability, or carrier delays. MCCA will provide tracking when available and reasonably assist with delivery inquiries or carrier claims.

  4. Shipping Information: Titleholders must provide an accurate, complete shipping address and report changes before shipment. Reasonable reshipping expenses caused by an incorrect address supplied by the recipient may be the recipient’s responsibility.

  5. Damaged, Incorrect or Replacement Items: Notify MCCA promptly if an item arrives damaged or incorrect and provide reasonable supporting documentation. Replacements for items lost or damaged after confirmed delivery may involve replacement and shipping charges, subject to availability.

  6. Care & Ownership: Titleholders are responsible for reasonable care of their crowns and sashes. Delivered items may remain personal keepsakes after completion of the reign, resignation, or revocation, unless a separate lawful written agreement states otherwise. Keeping them does not authorize current-title representation or transfer ownership of MCCA branding.

  7. Accurate Title Use: Titleholders may use their official National Title during their authorized reign while in good standing. They must accurately identify their awarded age division and National designation and may not claim another division or an unearned MCCA Title.

  8. Crown & Sash at Appearances: Wear official items with dignity and professionalism when appropriate and safe. Wearing a crown or sash does not mean MCCA sponsors, approves, or operates an independently arranged activity.

  9. MCCA Name, Logo & Branding: Approved branding may be used for legitimate Titleholder identification and promotion. Prior written permission is required to materially alter logos, manufacture or sell MCCA merchandise, license branding, or create unofficial MCCA crowns, sashes, certificates, or awards.

  10. Unauthorized Endorsements: Titleholders may not use their title or MCCA branding to falsely suggest that MCCA sponsors, endorses, or partners with a business, product, political campaign, fundraiser, organization, or event. Fundraising requirements are addressed in Section 8.

  11. End of Reign or Title Authorization: After expiration, resignation, or revocation, the individual must stop representing herself as the current National Titleholder. During suspension, she must follow restrictions communicated by MCCA. Accurate references to a former title and year are permitted when they do not misrepresent current standing.

  12. Official Announcements & Responsibilities: Titleholders may share official announcements and approved promotional materials without materially changing results, titles, or branding. Media use follows Section 1. National Titleholders must fulfill the reign, conduct, and community-service requirements established in these rules.

SECTION 8 — NATIONAL TITLEHOLDER RESPONSIBILITIES, APPEARANCES & COMMUNITY SERVICE

  1. Official Representation: National Titleholders must represent Miss Coastal Crown of America LLC (“MCCA”) with confidence, purpose, grace, integrity, kindness, respect, and professionalism throughout their reign.

  2. Crowning Photograph or Video: After receiving her official National crown and sash, each Titleholder must submit at least one clear photograph or video wearing both. Submitted materials may be used under Section 1’s media permissions. Parents or guardians may assist minor Titleholders.

  3. Required Activities: Each National Titleholder must complete at least three (3) qualifying public appearances, community-service activities, or a combination during her one-year National reign. Additional activities are encouraged but are not mandatory unless separately agreed to in writing.

  4. Qualifying Activities: Activities may include volunteering, charitable events, parades, festivals, school or civic programs, awareness initiatives, donation drives, community cleanups, mentoring, and other meaningful community involvement. Activities must be lawful, age-appropriate, and consistent with MCCA’s standards.

  5. Age-Appropriate Participation: Younger Titleholders may participate through family-supported projects, school activities, kindness initiatives, or other suitable opportunities. No minimum fundraising amount, purchase, or creation of a nonprofit is required.

  6. Activity Documentation: Keep reasonable records showing the activity date, description, and the Titleholder’s participation. MCCA may request photographs, event information, brief descriptions, or other reasonable confirmation.

  7. Appearance Approval: Routine charitable and community appearances generally do not require advance approval. Prior written approval is required when an activity could reasonably imply an official MCCA sponsorship, partnership, endorsement, political affiliation, commercial relationship, or contractual commitment.

  8. Independent Fundraising: Participation in an independent charity or fundraiser does not create an MCCA partnership or endorsement. Without written authorization, Titleholders may not collect money on MCCA’s behalf, collect MCCA registration fees, use MCCA payment accounts, or create an MCCA-sponsored fundraiser.

  9. Crown, Sash & Safety: Wearing the official crown and sash is encouraged when appropriate and safe. Titleholders may participate without them when impractical or unsuitable. No Titleholder is required to participate in an activity presenting an unreasonable safety risk. Minors must have appropriate parent or guardian supervision.

  10. Social Media & Recognition: Sharing activities and tagging MCCA is encouraged, not mandatory. Titleholders may submit content for possible recognition, but publication is not guaranteed except for recognition expressly promised in Section 11.

  11. Scheduling, Communication & Expenses: Titleholders may select activities that reasonably accommodate school, work, family, and other responsibilities. They are not required to attend every event or accept every opportunity. Maintain reasonable communication about official duties and notify MCCA if circumstances affect their completion. Unless MCCA agrees otherwise in writing, Titleholders and their families are responsible for transportation, supervision, and personal expenses.

  12. Incomplete Responsibilities: MCCA may review documented circumstances and allow reasonable corrective action before imposing discipline for incomplete duties. Any disciplinary action follows the applicable review procedures. National responsibilities continue throughout the one-year National reign.

  13. Completion of Reign: After successful completion, a Titleholder may accurately identify herself by her former National Title and year, subject to Section 7’s branding and title-use requirements.

SECTION 9 — CONDUCT, SOCIAL MEDIA & SPORTSMANSHIP

  1. Respectful Conduct: Contestants and National Titleholders must act with respect, integrity, professionalism, and good sportsmanship when interacting with fellow contestants, judges, MCCA representatives, sponsors, volunteers, and the public.

  2. Prohibited Conduct: Bullying, cyberbullying, stalking, harassment, credible threats, intimidation, unlawful discriminatory harassment, fraud, and deliberate interference with another contestant’s participation are prohibited.

  3. Social Media & Personal Opinions: Contestants and Titleholders may express personal opinions and share lawful personal activities. Personal views must not be presented as official MCCA statements or positions. Use of an official title, crown, sash, or logo must follow MCCA’s representation requirements. Social-media tagging is encouraged, not mandatory.

  4. False Statements & Impersonation: Participants may not impersonate MCCA or another person, misrepresent their title or authority, or knowingly make false factual statements intended to materially harm MCCA or another participant.

  5. Protected Expression & Complaints: Honest reviews, respectful criticism, lawful opinions, truthful personal experiences, and good-faith complaints are permitted. Reporting suspected misconduct or cooperating with authorities will not, by itself, result in discipline or retaliation.

  6. Privacy & Confidentiality: Participants may not disclose private contestant information, passwords, confidential judging materials, or other protected nonpublic information obtained through MCCA participation without authorization or lawful justification. This does not restrict legally protected reporting or disclosures.

  7. Judges & Competition Integrity: Contestants, Titleholders, parents, guardians, family members, and representatives may not bribe, pressure, threaten, harass, or improperly influence judges. Private contact intended to influence results or obtain confidential scoring information is prohibited.

  8. Fair Participation: Participants must not sabotage submissions, manipulate scores, spread knowingly false accusations, or retaliate against someone for a good-faith report. Respectful competition and appropriate disagreement are permitted.

  9. Questions & Disputes: Questions about rules, scores, placements, or organizational decisions must be directed through MCCA’s designated communication channels. Disagreement with a result does not excuse harassment or interference.

  10. Minor Titleholders: Parents and guardians must provide appropriate guidance and supervision and communicate respectfully with MCCA and other participants. When concerns involve a minor, MCCA will consider age-appropriate measures and communicate with the parent or guardian as appropriate.

  11. Review of Concerns: MCCA may review credible allegations connected to participation. Rumors, disagreement, or an unverified allegation alone do not establish a violation. When reasonably appropriate, the person involved—and a minor’s parent or guardian—will have an opportunity to respond.

  12. Disciplinary Action: Substantiated violations may result in a warning, corrective requirements, restrictions, suspension, disqualification, title revocation, or limits on future participation. Action will reflect the seriousness, frequency, evidence, and circumstances of the violation.

  13. Immediate Protective Action: Serious safety concerns, credible threats, fraud, significant harassment, or deliberate competition interference may require temporary protective action while the matter is reviewed. Temporary action does not, by itself, establish wrongdoing.

  14. Continued Compliance: National Titleholders must follow these standards throughout their reign. Personal conduct unrelated to MCCA does not automatically constitute a violation unless it materially affects official responsibilities or involves serious misconduct relevant to organizational representation. Discipline must be based on an identifiable rule violation, not disagreement alone.

SECTION 10 — PERSONAL RESPONSIBILITY, SAFETY, MINORS & INDEMNIFICATION​

  1. Voluntary Participation & Personal Responsibility: Participation in Miss Coastal Crown of America LLC (“MCCA”) National Competitions, public appearances, and community-service activities is voluntary. Contestants and National Titleholders are responsible for their personal conduct, safety, and compliance with applicable competition rules and laws.

  2. Online Competition & Technical Requirements: MCCA National Competitions are conducted virtually. Contestants are responsible for their internet access, equipment, and timely submission of required materials. MCCA is not responsible for technical failures outside its reasonable control. Documented MCCA system errors may be reviewed.

  3. Public Appearances & Community Service: National Titleholders are responsible for selecting safe, lawful, and age-appropriate appearances and community-service activities. Independently arranged activities are not considered MCCA-sponsored events unless expressly authorized in writing. No Titleholder is required to participate in an activity presenting an unreasonable safety risk.

  4. Minor Contestants & Parental Supervision: Contestants under eighteen (18) must have parent or legal guardian consent and appropriate supervision. Parents or guardians are responsible for transportation, activity approval, and the minor's safety. Minor contestants are not required to attend unsupervised meetings or communicate privately with unfamiliar adults.

  5. Expenses, Third Parties & Personal Property: Unless otherwise agreed in writing, contestants and Titleholders are responsible for their own travel, wardrobe, photography, equipment, and participation expenses. MCCA does not guarantee the services or safety of independent vendors or outside organizations and is not responsible for third-party conduct or personal property losses outside its reasonable control, except as required by law.

  6. Liability & Assumption of Risk: Contestants and, when applicable, parents or legal guardians acknowledge the ordinary risks associated with voluntary participation and independently arranged activities. To the extent permitted by law, MCCA is not responsible for losses or injuries arising solely from activities or third parties outside its reasonable control. This provision does not waive liability for MCCA's own negligence, misconduct, or other legally nonwaivable obligations.

  7. Limited Indemnification: To the extent permitted by law, adult contestants and Titleholders agree to indemnify MCCA against reasonable third-party claims arising directly from their own unlawful conduct, material misrepresentations, or material rule violations. This does not extend to MCCA's own negligence or misconduct. Any obligation involving minors or their guardians is subject to applicable law and a legally enforceable agreement.

  8. Safety Concerns & Legal Rights: Serious safety concerns should be reported to appropriate authorities and, when relevant, MCCA. Good-faith reporting will not result in retaliation. Nothing in these Rules & Regulations waives legal protections that cannot lawfully be waived.​

SECTION 11 — NATIONAL COMPETITION PRIZES & AWARDS

  1. Official Winner’s Prize Package: Each officially confirmed National Division Winner will receive:
    • Official MCCA National Crown & Sash
    • Personalized Crown Box
    • Personalized Titleholder Apparel
    • Personalized Travel Bag
    • Custom Titleholder Tumbler
    • Four-Day, Three-Night Cruise for Two
    • Official MCCA Social Media Features & Recognition
    • Access to Available Community-Service & Appearance Opportunities
    • Access to the MCCA Queen Community

  2. Personalized Items: Items may feature the Titleholder’s name, official title, or approved MCCA branding. The specific apparel item, designs, styles, colors, and personalization details will be determined by MCCA. Recipients must provide accurate sizing, personalization, and shipping information when requested.

  3. Production & Fulfillment: Crowns and sashes follow the estimated 4–8-week shipping schedule in Section 7. MCCA will communicate fulfillment estimates for other physical prizes. Estimates may vary because of production, supplier availability, or carrier delays.

  4. Included Shipping: Standard shipping to a valid U.S. address is included for the National winner’s physical prize package. Reasonable reshipping costs caused by an incorrect address supplied by the recipient may be the recipient’s responsibility.

  5. Cruise Award: Each confirmed National Division Winner receives one four-day, three-night cruise for two travelers, including cruise fare, taxes, and port fees. The recipient is responsible for gratuities, additional passengers beyond two, and all expenses not expressly included, such as transportation to the departure port, travel documents, optional excursions, and onboard purchases.

  6. Cruise Booking & Minor Winners: Minor winners must travel with a parent or legal guardian. All travelers must meet the cruise provider’s age, documentation, and booking requirements. MCCA will disclose the provider, booking and travel deadlines, available departure options, and applicable restrictions before National registration opens. Travel is subject to the provider’s published terms and availability. The cruise is a confirmed part of the winner’s package, not a possible future sponsored award.

  7. Recognition & Opportunities: Winners receive official MCCA social-media features and recognition. Community-service activities, appearances, and Queen Community experiences may vary based on location, age eligibility, availability, and scheduling. Participation in a particular event or opportunity is not guaranteed.

  8. Additional Sponsored Awards: As MCCA grows, additional sponsor gifts, products, services, scholarships, or awards may become available. Additional prizes are not guaranteed unless officially announced and confirmed by MCCA.

  9. Runner-Up Recognition & Succession: Officially announced National runner-ups receive placement recognition and MCCA social-media recognition. Additional promotional features are discretionary. Runner-up placement alone does not include the winner’s prize package. Awards for a successor who assumes a National Title are to be determined and must be confirmed in writing before she accepts the title. A successor is not promised the full package or cruise unless expressly confirmed.

  10. Prize Substitutions: If an advertised prize becomes unavailable because of supplier limitations or circumstances outside MCCA’s reasonable control, MCCA may provide a reasonably comparable substitute, subject to applicable law and the published prize terms. Material changes will be communicated to affected recipients. Cash substitutions are not available unless expressly authorized by MCCA.

  11. Prize Eligibility & Transfer: Awards require official confirmation of placement and eligibility. Recipients must provide accurate information needed for fulfillment. Prizes are not transferable unless expressly authorized by MCCA and, where applicable, the prize provider.

SECTION 12 — TITLE TERM, RESIGNATION, SUSPENSION & REVOCATION

  1. Official Title Term: Each National Titleholder serves a one-year reign beginning on the official date designated by MCCA. A successor serves only the remainder of the original reign.

  2. Voluntary Resignation: A Titleholder may resign by providing written notice to MCCA. Resignation becomes effective upon written acknowledgment or another confirmed date. Resignation does not automatically create a right to a refund, credit, or reimbursement, or remove obligations established under a separate enforceable agreement.

  3. Temporary Suspension: MCCA may temporarily restrict Titleholder privileges while credible eligibility, safety, fraud, misconduct, or material rule concerns are reviewed. Suspension alone is not a final finding of wrongdoing.

  4. Notice & Opportunity to Respond: When reasonably appropriate, MCCA will notify the Titleholder—and the parent or guardian of a minor—of the concern and provide a reasonable opportunity to respond before final revocation. Urgent temporary protective action may be taken first when necessary.

  5. Title Revocation: MCCA may revoke a National Title for substantiated material eligibility violations, fraud, serious misconduct, repeated noncompliance, or material failure to fulfill National Titleholder responsibilities. Decisions will consider the evidence, seriousness, and circumstances. Minor technical errors, respectful criticism, or good-faith complaints do not automatically justify revocation.

  6. Corrective Action: When appropriate, MCCA may issue a warning, request corrective action, or allow reasonable time to resolve a violation before revoking a title.

  7. Effect on Title Use: During suspension, the Titleholder must follow restrictions communicated by MCCA. After resignation or revocation, she must stop representing herself as the current MCCA National Titleholder.

  8. Crown, Sash & Historical Identification: Previously delivered crowns and sashes may remain personal keepsakes under Section 7. Keeping them does not authorize current-title representation. Accurate references to the specific former title and year are permitted when they do not misrepresent current standing.

  9. Vacancies & Succession: MCCA may offer a vacant National Title to eligible runner-ups in the same age division. Successor awards follow Section 11, and succession does not extend the original reign.

  10. Other Prizes: The treatment of undelivered merchandise, unused cruise awards, or existing bookings follows the published prize terms, any applicable provider agreement, and applicable law. Resignation or revocation does not automatically establish a repayment obligation or cancel a booking.

  11. Published Materials & Future Eligibility: Previously published materials remain subject to Section 1. MCCA may consider substantiated prior conduct when reviewing future eligibility. Resignation or temporary suspension does not automatically create a permanent participation ban.

  12. Official Decisions & Review: MCCA will communicate official decisions through its designated channels. Decisions may be reviewed or corrected when supported by new material evidence, documented administrative errors, or applicable legal requirements.

SECTION 13 — ADMINISTRATIVE POLICIES, COMMUNICATIONS & RULE CHANGES

  1. Official Communications: MCCA may communicate through email, its website, registration systems, and other designated channels, including text messages when authorized. Contestants and guardians must keep contact information current and reasonably monitor official notices, including spam folders.

  2. Electronic Registration & Acceptance: MCCA accepts electronic forms, submissions, payments, signatures, and acknowledgments through its designated platforms. Participants are responsible for complete and successful transmission. Electronic acceptance is effective to the extent permitted by law.

  3. Deadlines: Unless otherwise stated, published deadlines end at 11:59 PM Eastern Time (ET). Submit materials early enough to account for ordinary upload, device, or internet problems. Missing-category scoring is governed by Section 5.

  4. Technical & Administrative Errors: MCCA is not responsible for technical problems outside its reasonable control. Report suspected MCCA-controlled system errors promptly with available supporting information. MCCA may correct documented clerical, payment, submission, or scoring errors without creating an unfair advantage.

  5. Administrative Adjustments: MCCA may reasonably adjust schedules, submission procedures, judging logistics, or fulfillment arrangements when necessary. Material changes affecting eligibility, judging weights, fees, prizes, or contestant obligations will be communicated and will not be applied retroactively in a materially unfair manner.

  6. Cancellation & Rescheduling: If the National Competition is canceled, MCCA will provide a replacement competition and transfer paid National registration fees without an additional National entry fee, as provided in Section 3. Affected contestants will receive updated dates and deadlines when available. Applicable legal rights remain protected.

  7. Unforeseen Circumstances: Weather, emergencies, supplier disruptions, internet outages, or third-party platform failures may require reasonable extensions or alternative procedures. MCCA will communicate material changes to affected participants.

  8. Prize & Cruise Adjustments: Prize availability, substitutions, shipping, successor awards, and cruise fulfillment are governed by Section 11 and the disclosed cruise-provider terms. MCCA will communicate material changes to announced awards. A provider disruption does not automatically remove MCCA’s obligations under the published prize terms or applicable law.

  9. Rule Interpretation & Separate Programs: MCCA will administer these rules fairly and consistently. City rules govern City participation, State rules govern State participation, and National rules govern Nationals. An approved exception does not automatically change the rules for unrelated circumstances. Judging reviews follow Section 5.

  10. Severability & Applicable Law: If a provision is found invalid or unenforceable, the remaining provisions continue to the extent permitted by law. Nothing in these rules limits rights, protections, or responsibilities that cannot lawfully be waived.

SECTION 14 — AGREEMENT, CONSENT & ACKNOWLEDGMENT

  1. Acceptance of Rules: By completing registration and the required acknowledgment, the contestant confirms that she has read, understands, and agrees to the MCCA National Competition Rules & Regulations, including eligibility, submissions, judging, fees, media permissions, conduct, prizes, and Titleholder responsibilities.

  2. Fees & Payment: Contestants acknowledge the $695 National registration fee, separate from City and State fees, and the payment policy in Section 3. Payment does not guarantee acceptance, a National Title, placement, or prizes.

  3. Judging & Results: Contestants accept the published judging categories and weights: Introduction Video 25%, Evening Gown Portfolio 30%, Photogenic 25%, and Community Service/Resume 20%. Missing or unjudgeable category entries receive zero under Section 5. Results remain subject to its administrative review procedures.

  4. National Title Selection: Contestants understand that only one (1) winner in each of the eleven (11) age divisions earns that division’s National Title, subject to verified results and eligibility. National Titles are not awarded separately by state.

  5. National Titleholder Duties: Confirmed winners accept a one-year reign, a required crowning photograph or video, three qualifying appearances or community-service activities, and continued compliance with conduct and branding requirements. Successors serve the remainder of the original reign.

  6. Prizes & Cruise Terms: Contestants acknowledge Section 11’s prize terms. The winner’s cruise includes fare, taxes, and port fees for two travelers. Recipients are responsible for gratuities, additional passengers, and expenses not expressly included. Minor winners must travel with a parent or legal guardian. Booking is subject to the cruise terms disclosed before National registration.

  7. State Advancement Obligations: National registration does not replace or amend an existing State advancement agreement. Any $200 failure-to-advance charge described in Section 3 is separate from the National fee and requires a separately acknowledged, legally enforceable agreement, subject to applicable law.

  8. Media Consent: Contestants agree to the media permissions in Section 1, including authorized use of submitted materials, names, titles, and promotional information.

  9. Consent for Minors: For contestants under eighteen (18), a parent or legal guardian must review and accept the rules, authorize participation and media use, and arrange appropriate supervision. Financial obligations involving minors or guardians remain subject to applicable law and a legally enforceable agreement.

  10. Electronic Acknowledgment: Selecting the required registration checkbox confirms acceptance to the extent permitted by law. MCCA will retain the accepted rule version and acknowledgment. Nothing in this agreement waives legally protected rights that cannot be waived.
